Standard Operating Procedures (SOP)

1. General Philosophy
AFR–KLM Group Virtual simulates the operations of Air France, KLM, and Transavia within a professional yet accessible environment.
We aim to balance realism, consistency, and enjoyment. Members are expected to operate in a manner reflecting real-world airline standards while maintaining respect towards fellow pilots and staff.
2. Company Language
The official company language is English.
As an international platform, all communication (including PIREPs, comments, and support requests) must be conducted in English to ensure clarity and consistency across the community.
3. Membership & Identity
Only real, full legal names are accepted.
No abbreviations, fictional names, or aliases are permitted.
Names must be written using the Latin alphabet.
Failure to comply may result in rejection or termination of membership.
4. Activity Requirements
First flight (PIREPs) must be completed within 14 days after registration.
Thereafter, at least 1 PIREP every 180 days is required to remain active.
Exceptions:
Captains are exempt from minimum activity requirements.
VAA partner members may be whitelisted at staff discretion.
5. Application Policy
We allow a maximum of three (3) consecutive applications without completed PIREPs.
If no activity is recorded after these attempts, we reserve the right to decline further applications without justification.
6. Operational Expectations
You are expected to know and handle the aircraft you operate.
AFR–KLM Group Virtual is not a flight school.
Flights must be conducted in a realistic and controlled manner.
7. Flight Integrity Rules
The following are strictly prohibited:
❌ Pausing the simulator during flight
❌ Slewing the aircraft
❌ Time acceleration / compression
❌ Partial and fully Fictional Liveries
❌ Inflight Refueling
Violation of these rules may result in PIREPs being invalidated.
8. PIREP Submission & Reporting
All flights must be submitted via a complete and accurate PIREP.
Any irregularities, deviations, or issues must be reported:
during submission, or
immediately after submission
Once a PIREP has been reviewed, retroactive corrections are not possible.
9. Scoring & Manual Review
Flights are evaluated using an automated scoring system.
AFR–KLM Group Virtual reserves the right to:
apply manual deductions,
adjust scores, or
reject PIREPs after review.
This ensures fairness and operational realism.
10. Approach & Landing Standards
A stabilized approach is mandatory.
Criteria are monitored via the scoring system.
If operational conditions require deviations (e.g., special procedures, weather, ATC instructions), this must be clearly stated in the PIREP comments and will be reviewed manually.
11. Conduct & Community
Members are expected to:
Act with respect and professionalism
Support a positive and inclusive environment
Follow staff instructions at all times
Anything your mum doesn't allow at the dinner table, is a no-go.
Anything considered illegal by law or not socially accepted has to stay outside our community.
12. Membership Termination
AFR–KLM Group Virtual reserves the right to terminate membership at any time, with or without providing a reason.
Appendix A — No-Fly Zones
The following airspaces are restricted or prohibited and must not be entered unless explicitly permitted:
Active conflict zones
Restricted airspace
Any airspace restricted by current NOTAMs or international aviation authorities
Failure to comply will result in PIREPs being invalidated.

Appendix B — Aircraft Substitution Policy
At this time, no aircraft substitutions are permitted.
Pilots are required to operate the exact aircraft type as booked within the system. Deviating to another aircraft type is not allowed and may result in the invalidation of the PIREP.
Livery & Registration
The aircraft livery should match the operator (Air France, KLM, or Transavia) whenever possible.
The aircraft registration should reflect a realistic counterpart of the selected flight where available.
We understand that simulator limitations may apply; however, pilots are expected to aim for the highest possible level of realism.
Future Adjustments
Substitution policies may be introduced in the future (e.g., temporary allowances for unavailable aircraft). Any such changes will be communicated via official channels.
In short:
Fly what you book — and keep it as real as possible.
If a flight is operated in reality with a different aircraft type than what is currently bookable in our system, please contact us via Discord (open a ticket) before you start your flight/book it.
Do not simply use another aircraft type without prior approval — such flights will be invalidated.
